1. Introduction to ChatterQ
ChatterQ helps businesses find public conversations where people or companies are asking for the services they offer. You tell ChatterQ what you sell and where; ChatterQ looks for relevant public posts, scores them and delivers them as opportunities for you to review, track and, if you choose, send to your CRM.
2. Creating and accessing your account
- Go to Get Started and sign up with your work email and a password.
- Confirm your email from the message we send you.
- Log in from the Log In page. Use “Forgot password” if you need a reset link.
- To join an existing company account, accept the invitation your admin sends you while signed in with the invited email.
3. Completing your business profile
- During onboarding, enter your business name, website and industry.
- Describe your services and your ideal customers.
- Choose whether you sell to consumers (B2C), businesses (B2B) or both.
- Set your service area.
- Save. You can update these details later from your account.
4. How Quinn helps with setup
Quinn is ChatterQ's AI assistant. Where enabled, Quinn can guide you through setup by asking about your business and suggesting keywords and mission settings for you to review. Quinn only suggests — nothing is saved until you confirm.
Coming Soon: Quinn may not yet be available on every account. You can complete every setup step without it.
5. Creating monitoring missions
- Open Missions and choose to create a mission.
- Name the mission after one service, e.g. “Roof repair — Mooresville.”
- Add keywords and a location (see section 6).
- Choose the audience: people, businesses, possible business prospects, or a mix.
- Submit. Our team reviews the mission before monitoring begins; its status updates when it is active.
The number of active missions depends on your plan.
6. Selecting keywords, topics and locations
- Start with phrases customers use when asking for help: “looking for,” “recommend,” “need a,” plus your service.
- Add common variations and misspellings.
- Add exclusion terms for results you don't want (for example “DIY” or “job opening”).
- Pick the city, county or region you actually serve.
- Review results after a week and refine.
7. Choosing available monitoring sources
Each mission can show recommended public sources, such as communities or channels where your customers talk. Approve the ones you want, decline the rest, or suggest your own. Our team verifies every source before use.
Not every social platform or website is supported, and availability can change. ChatterQ only uses publicly available information and does not access private groups or accounts.
8. Reviewing discovered conversations
Each opportunity shows the source, a summary, the matched signals and a link to the original public post. Read the original before acting — context matters, and posts can be old, edited or removed.
9. Understanding B2B and B2C opportunities
These labels are AI-assisted estimates and may be wrong.
- Person looking for a service (B2C).
- Business looking for a service (B2B).
- Possible business prospect — a business that may be a fit; always marked as a guess.
10. Understanding opportunity scores
Each opportunity gets a score reflecting how strongly it appears to match your mission — for example, clear buying language, a matching location and recency. Higher-scoring opportunities are shown as high intent; lower ones may be marked low priority. Scores help you prioritize; they are not predictions of a sale.
11. Reviewing and approving prospects
- Open an opportunity from Opportunities.
- Review the details and the original post.
- If it's a fit, mark your next step (for example contacted).
- If it isn't, mark it not interested or archive it.
- Only opportunities you choose are sent to your CRM.
12. Managing your opportunities
Track each opportunity through its stages: new, viewed, contacted, responded, interested, not interested, appointment scheduled, appointment completed, won, lost and archived. Every change is saved in the opportunity's history. Admins can add an expected close date, and you can record the actual revenue from a won deal, which is kept separate from estimates.
13. Connecting a supported CRM
GoHighLevel is supported today. HubSpot, Salesforce, Pipedrive and Zoho CRM are Coming Soon.
- As an account admin, go to Account → CRM Connections.
- Click Connect GoHighLevel. A GoHighLevel window opens.
- Sign in, choose your sub-account and confirm the install and permissions.
- Return to ChatterQ; the connection shows Connected.
- Optionally choose the GoHighLevel pipeline and stage that new opportunities should go to.
Connections are stored securely and can be disconnected at any time from the same screen. ChatterQ does not sync automatically.
14. Manually exporting approved opportunities
You can also download opportunities as a CSV file from Reports.
- Open the opportunity you want to send.
- Click Send to CRM.
- ChatterQ creates or updates the matching contact in your CRM and adds the opportunity details. Sending the same opportunity again won't create a duplicate.
- The export status appears on the opportunity.
15. Reporting and conversion tracking
Reports show opportunities delivered, high-intent opportunities, your progress through each stage, appointments, wins and the revenue you reported. Filter by date range, mission, platform and type. Pipeline and forecast views use your own recorded outcomes; a forecast appears only once you have enough closed results. Estimated amounts are always labelled as estimates.
16. Managing team members
- Admins open Account → Team.
- Invite a teammate by email and choose a role: admin (manages settings, billing and CRM) or viewer.
- Send them the one-time invitation link. It works once, only for that email, and expires in 7 days.
- Remove teammates from the same screen.
The number of seats depends on your plan.
17. Managing subscription plans
Admins can view plans, upgrade, add extra missions or seats, or cancel from Account → Plan & billing. Upgrades are prorated; cancellations take effect at the end of the billing period; downgrades below your current usage are blocked until you reduce usage. See Pricing for current plans.
Online payments are not yet live.
18. Account security and privacy
See the Privacy Policy for how information is handled.
- Use a strong, unique password and keep it private.
- Each company's data is kept separate; teammates only see their own company's account.
- CRM access keys are stored encrypted, and you can disconnect at any time.
- ChatterQ staff will never ask for your password.
19. Troubleshooting common problems
- Can't log in: reset your password, and check you're using the right email.
- No opportunities yet: new missions are reviewed first; results depend on public activity in your area. Try broader keywords.
- Too many irrelevant results: narrow the location, add exclusion terms or adjust the audience.
- CRM won't connect: finish within 10 minutes, allow pop-ups and confirm every GoHighLevel screen.
- Send to CRM failed: check the connection shows Connected, then try again.
